1. Who we are
This website is operated by iMend IT UK Limited (company number 09210192), registered in England, trading as VacLab Floorcare Services, SparkSpares, DysonFilters.co.uk and DysonSpares.co.uk.
For the purposes of data protection law, iMend IT UK Limited is the "data controller" of the personal data described in this policy.
Registered office address: 152 Bole Hill Road, Walkley, SHEFFIELD, S6 5DE, UNITED KINGDOM
2. What data we collect
We only collect what we need to help you and run the business. Depending on how you get in touch, this may include:
- Your name, phone number and email address.
- Details about your vacuum cleaner or other machine, and the fault you've described.
- Your address, where collection, delivery, or a home visit is needed.
- Payment confirmation details (we do not store your full card details ourselves — see Section 5).
- Messages you send us by email, text, WhatsApp, or our booking form.
We collect this directly from you — for example when you fill in a booking form, message us on WhatsApp, call, text, or email us.
3. How we use your data
We use your personal data to:
- Diagnose, quote for, and carry out repairs or servicing.
- Arrange collection, delivery, or return of your machine.
- Process payments and keep records for accounting and warranty purposes.
- Contact you about the status of a repair, quote, or order.
- Respond to questions, complaints, or warranty claims.
- Meet our legal obligations, for example under consumer protection or tax law.
We do not use your data for automated decision-making or profiling, and we do not sell your personal data to anyone.
4. Our legal basis for using it
Under UK GDPR, we rely on the following legal bases:
- Contract — to carry out the repair, service, or sale you've asked us for.
- Legitimate interests — to run and improve our business, for example keeping records of past repairs so we can help faster if you come back to us.
- Legal obligation — for example keeping financial records as required by law.
- Consent — where we ask for it directly, for example if we ever wanted to send you marketing (we'll always give you a clear way to say no or opt out).
5. Who we share data with
We don't sell or rent your data. We do use a small number of trusted third parties to help run the business, who process data on our behalf or independently as part of providing their service:
- Tally (tally.so) — processes bookings made through our online forms.
- Payment providers — to process payments securely; we don't store your full card details ourselves.
- WhatsApp / SMS — if you contact us this way, your message is handled under that platform's own privacy policy as well as ours.
We may also share data where required by law, for example with HMRC or if legally compelled to by a court or regulator.
6. Cookies & similar technology
This website does not currently use analytics, advertising, or tracking cookies.
We do load web fonts directly from Google Fonts, which means your device makes a request to Google's servers to display the site's typefaces. This can transmit your IP address to Google as part of that request. It doesn't identify you personally and isn't used for tracking, but we're mentioning it here for full transparency.
If we add analytics, marketing, or tracking tools in future, we'll update this policy and, where required, ask for your consent first.
7. How long we keep your data
We keep personal data for as long as we need it to provide our services, deal with any warranty claims, and meet our legal and accounting obligations.
As a general guide, records relating to a repair, service, or sale are kept for 7 years in line with our accounting and warranty obligations, after which they are securely deleted or anonymised.
8. Your rights
Under UK GDPR, you have the right to:
- Ask what personal data we hold about you, and get a copy of it.
- Ask us to correct anything that's inaccurate or incomplete.
- Ask us to delete your data, where we don't have a legal reason to keep it.
- Object to, or ask us to restrict, certain uses of your data.
- Ask for your data in a portable format, where technically possible.
To exercise any of these rights, contact us using the details in Section 12. If you're not happy with how we've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.
9. Keeping your data secure
We take reasonable steps to protect your personal data against loss, misuse, or unauthorised access, including limiting who within the business can access it and using reputable third-party providers for forms and payments.
No method of storage or transmission is completely secure, but we aim to use practices appropriate to the type and amount of data we hold.
10. Children's privacy
Our services are intended for adults. We don't knowingly collect personal data from children, and our services aren't marketed at them.
11. Changes to this policy
We may update this policy from time to time, for example if we change how the site works or add new tools. Significant changes will be reflected in the "last updated" date at the top of this page.
